What to include in your custom software project brief

A clear brief helps us assess feasibility and prepare a proposal with defined deliverables. Describe one typical task from start to finish, including who enters information, who approves it, and which report or document the system should produce.

  • Users and access: List user roles, locations, devices, and tasks that must work without an internet connection.
  • Launch scope: Separate essential features from later additions, and identify any existing tools or integrations.
  • Data and reports: Describe current spreadsheets or databases, required imports and exports, and the reports your team uses.
  • Acceptance and handover: Define example workflows to test, who will approve them, and the training, documentation, and access needed at launch.

Need a starting document? Use our custom software requirements checklist and copyable project brief to organize your workflow and acceptance checks.

Share sample forms or anonymized records rather than live customer information. Before development begins, confirm the agreed scope, dependencies, milestones, and change-request process in the written proposal.

Custom software FAQ

Do you provide an exact price immediately?

Custom software is quoted after the required roles, workflows, integrations and reporting scope are understood.

Can an existing system be improved?

Yes, subject to a technical review of the existing source, data structure and hosting access.

Is training included?

Handover and training scope can be included in the written proposal based on the number of users and modules.

Can you migrate data from spreadsheets or an older system?

Migration can be assessed after reviewing a sample export, field structure, record volume, and data quality. The proposal should define which records are included, any cleanup responsibilities, a trial import, and checks before the final transfer.

How are backups and data exports handled?

Backup and export requirements should be agreed for each project. Confirm the backup location, schedule, retention period, restore checks, and the person responsible. An offline application still needs a backup plan, and cloud hosting alone does not define one.

What support is available after launch?

The written proposal should specify the support period, contact method, maintenance responsibilities, and any recurring costs. It should also distinguish fixes within the agreed scope from new features, integrations, or other separately quoted changes.

Choosing between offline and cloud software?

Start with the tasks that must work during an outage, the people who need access, and your backup and support requirements. Our offline vs. cloud business software guide explains the decisions to confirm before requesting a proposal.
